We work really hard to bring you unique experiences and terrific value. Occasionally things might change and we’ll need to make a substitution for something on the itinerary. Should this happen, we will always provide you with a comparable, or better, replacement.
Here are our general terms of service, which could vary slightly from trip to trip, so please confirm things on the appropriate web page for your particular journey.
Tips and Taxes – all local taxes and tips on room accommodations, porterage and meals are included in the cost of the tour, except airport taxes and gratuities to local guides.
Tour Price Does Not Include – documentation costs, individual country’s departure tax, travel insurance, excess baggage charges, inoculations or vaccinations, meals not indicated in published itinerary, beverages not on the menu of table d’hôte meals, optional tours not specifically included in the itinerary, laundry, insurance, or any other item of a personal nature not specifically mentioned herein.
DEPOSIT AND FULL PAYMENT
Deposits (as indicated) are required upon registration. Final payment is due at least 60 days prior to departure date, at which time tickets and vouchers will be issued.
CANCELLATION
If the trip is cancelled once a spot has been registered, there is a $250 administrative fee. Each trip has a different cancellation policy, so please look at the site associated with your trip (under details).
There will be no refunds for cancelations after 60 days prior to departure .
We STRONGLY encourage you to buy travel insurance to protect yourself in the case of cancelation or some unexpected circumstance.
TRAVEL DOCUMENTS
All travelers need a passport valid for at least six months after the date of entering the country of intended visit. Please note that this rule is enforced by the countries we are visiting.
Entry Visas are handled on a “per trip” basis depending on the destination country. This info is available under the details page of each site.
BAGGAGE
Between North America and Asian destinations, each passenger is allowed two pieces of checked baggage. Check with your airline to see their latest travel policies. Cabin baggage is limited to one item and tone personal item (like a handbag) so check with your airline for the specifics.
RESPONSIBILITY
Spirit Quest Tours, LLC. has made arrangements for the tour services described in its’ brochures and web sites. Hotels and other suppliers providing tour services are independent contractors and are not the agents, employees or servants of, or joint ventures with Spirit Quest Tours, LLC. All certificates and other travel documents for tour services issued by Spirit Quest Tours, LLC. are subject to the terms and conditions specified by the supplier and the laws of the countries is which the services are supplied.
By agreeing to utilize the services of Spirit Quest Tours, LLC., the tour participant agrees that neither Spirit Quest Tours, LLC., or its affiliates nor its or their employees or agents, shall be liable for any delay, inconvenience, loss of employment, upset, disappointment, distress or frustration, whether physical or mental, resulting from the act or omission of Spirit Quest Tours, LLC., or its affiliates, or its or their employees or agents, shall be liable for any damage, loss, claim, cost or expense arising out of personal injury, accident, or death, loss, damage or delay of baggage or other property, resulting from:
1. the act or omission on the part of any person other than Spirit Quest Tours, LLC., or its employees;
2. acts of God, sickness, theft, labor disputes, mechanical break-down, government actions, weather, or any cause beyond Spirit Quest Tours, LLC.’s direct control.
No person, other than a representative of Spirit Quest Tours, LLC., authorized by a document in writing, may vary, add or waive any term or condition in this brochure, including any term or condition set forth in the preceding provisions.
Written notice of any claim against Spirit Quest Tours, LLC. must be received no later than fourteen (14) days after the date that services were provided to a tour participant.
PRIVACY POLICY
At Spirit Quest Tours, LLC we recognize that your privacy is important. In order to provide you with the services that we offer, we will collect some personal information about you. This information will include name, address, phone number, passport number and expiration date. This information will only be used to facilitate your travel with Spirit Quest tours, LLC and will never be sold, rented or given to any third parties other than airlines, hotels and booking agents who partner with us in providing you travel services, and then only for the purposes of your trip. We will always safeguard your personal information to the best of our ability: including the use of password protected computer systems, encrypted files and secure databases that are shielded from public availability. Passport numbers will be purged from our systems as soon as is practical after the completion of a given tour.
We will also need to collect payment information in order to process checks and/or credit cards. This information will only be collected through secure means using proven third-party tools and will not be stored or retained by Spirit Quest Tours, LLC.
A large percentage of our business comes from “alumni” travelers. For those of you traveling with us more than once, we apologize for having to collect information from you multiple times, but it is vital that we safeguard your personal data.
